Our pricing is based on a per-project basis, not hourly. Our estimates are perfect for busy contractors that need an “On-Demand” estimate completed. Most contractors bid only a few projects per month and our pricing tends to be more affordable than hiring a full time in-house estimator.

Our estimates are very accurate and based on your project’s zip code so your pricing will be accurate and competitive. Our estimates are designed as guidelines for you to finalize pricing so you’ll be able to make your final adjustments with the Excel Spreadsheet we send you. You can adjust Supervision, Equipment, Profit, and manually override any of our estimated pricing. Our labor and material costs come from Craftsman National Construction Estimator Database which is updated several times per year. Our estimating team are construction professionals with plenty of field experience and we make adjustments based on factors such as changes to productivity, equipment, etc. For example, if a wall is 20 ft high, we’ll need to include a lift along with slower productivity to adjust the labor price.
Pricing in all regions varies and we used highly accurate cost databases along with field experience to price projects. We carry a $1 Million Accuracy Guarantee covered by our Errors and Omissions Insurance. If we were to ever make a mistake and you lose money on a project, you are completely covered. There will always be a variation in pricing based on the fluctuations in the market, labor shortages or surpluses, and major events that suddenly increase or decrease material or labor pricing.

What makes a Santa Rosa bid different

Most cities, the hard part is the takeoff. Santa Rosa, the hard part is everything wrapped around it.

Start with the calendar. First plan check submittal in Santa Rosa runs 10 to 12 weeks. Every resubmittal after that runs 6 to 8 weeks, and most jobs take two or three correction cycles to clear. Do that math. You’re looking at somewhere between five and a half and seven months of review before anybody breaks ground.

That’s not a scheduling problem. That’s a money problem.

If you price supervision as a percentage of the job, you’re going to eat that whole window. Our estimates put supervision on the sheet in weeks, with a number next to it. Twenty-four weeks on a San Francisco residence. Twelve on the Santa Rosa tenant improvement. Eight on a Berkeley apartment package. You can see the line. You can argue with the line. That’s the point.

Then there’s fire. Santa Rosa isn’t a city where wildfire code is a footnote — it’s the reason half the local amendments exist. New construction inside a Wildland-Urban Interface Fire Area has to meet Chapter 7A of the adopted California Building Code. Santa Rosa is running the 2025 code, effective January 1, 2026.

And the map is moving. The Fire Department has proposed pulling 3,082 more parcels into the WUI and dropping 811 out, matching CAL FIRE’s 2025 hazard maps. Roughly 3,893 properties affected. Check where your parcel landed before you price it, because the answer changed.

Four things that get missed on a Santa Rosa construction estimate

1. The Chapter 7A money isn’t in the roof. Headwaters Economics and IBHS priced this out in October 2025 on a 1,750 square foot single-family home. Going to California’s wildfire standard added $13,070 — about 22 percent over standard construction. The roof was $990 of it. Eaves and vents were $2,384. Windows and doors, $2,960. Zone 0 landscaping and fencing, $2,636. Everybody prices the Class A roof. Almost nobody prices the ember-resistant vents or the fence you now have to tear out. Those figures are a modeled home in Altadena, not a Santa Rosa unit cost — use them for the shape, not the total, and note they’re before markup.

2. Sales tax isn’t one number in this region. Our own estimates show it: 8.630% on a San Francisco job, 8.750% in Walnut Creek, 10.750% in Albany. That’s a 2.12 point spread inside one metro area. On a $692K job, guessing wrong on that one rate costs you more than most people’s contingency.

3. The $1 million line on Sonoma County work. The County requires a Project Labor Agreement on construction projects worth $1 million or more. That threshold used to be $10 million — the Board dropped it to $1 million in September 2023. A PLA sets wages and benefits and requires hiring through a union hiring hall. So a $1.1M county job and a $900K county job don’t share a labor basis. If you carry one wage assumption across that line, you’re going to be wrong on one side of it.

4. The address might not be the City. Larkfield carries a Santa Rosa mailing address inside 95403, but it’s unincorporated. That’s Permit Sonoma, not the City of Santa Rosa. Different fees. Different queue. People lose a month to this.

One more, free: Santa Rosa charges a Commercial Linkage Fee on commercial development citywide, downtown included. The base was $3.00 per square foot when it was adopted in 2019, and it’s been adjusted every July 1 since against the Bay Area CPI. Call the City for today’s number. Don’t budget the 2019 one.

Santa Rosa projects we’ve actually priced

Here’s the straight version, and you should read it before you read the list.

We’ve priced one job inside Santa Rosa. One. It’s the Off the Charts tenant improvement in 95403, and it’s on this page with the real total on it. The rest of what we’re showing you is North Bay and Bay Area work, and here’s what “nearby” actually means from Santa Rosa: Napa is 35 miles. Vallejo is 40. Berkeley, Albany, San Francisco and Walnut Creek are about 55. Oakland is 60.

We’re not going to tell you we have a Sonoma County portfolio. We don’t. What we have is a Santa Rosa TI and a stack of Bay Area estimates priced under the same California code cycle, the same labor market, and the same sales tax patchwork. Look at the documents and decide for yourself whether that’s useful.

Where we work in Santa Rosa

Citywide, and in the parts of it where the work actually is.

Coffey Park. Still rebuilding nine years on. The City awarded a $4.7 million contract for Hopper Avenue corridor improvements in February to a Santa Rosa contractor, out of PG&E settlement money — one of the last pieces of the recovery.

Fountaingrove. Hillside, and the part of town most exposed to the WUI map redraw. If you’re building up there, price Chapter 7A properly or don’t bid it.

Roseland. Tierra de Rosas is 7.6 acres — 75 affordable units, 100 market rate, a one-acre plaza, the Mercado Food Hall, and a 24,000 square foot civic building. The County put $14.8 million into sewer, utilities and streets alone.

Downtown, Railroad Square and Courthouse Square. The Downtown Station Area Specific Plan has been in place since October 2020, with a floor-area-ratio bonus for affordable units and childcare. 566 Ross Street is 118 units in eight stories on a quarter acre. 420 Mendocino Avenue is 160 units on half an acre.

Rincon Valley, Bennett Valley, Oakmont, the Junior College area, and the 101 corridor. Plus 95401, 95403, 95404, 95405, 95407 and 95409.

And Larkfield — just remember that one’s the County.

Who our Santa Rosa estimating service is for

If you’ve never had a cost estimator take your drawings apart line by line, the first thing you’ll notice is what shows up that wasn’t in your own number.

We put contingency, profit and subcontractor markup on separate lines. Contingency runs 3 to 5 percent on the work above. Profit is 10. Sub markup is 40. You can see all three and change any of them.

Send the plans. Sales tax gets set by your jurisdiction, supervision gets counted in weeks, and wildfire assemblies get priced as assemblies.
